Set up a meeting plan

The different departments has individual routines for setting up a meeting plan for oral exams. We recommend that you follow your departments established routines. Contact the exam administrative employee at your department if you have any questions (click the "Contact"- button in the guide main page.

Below you will find a suggestion for how a meeting plan for a digital oral exam can look like. We recommend a thirty minute break between each of the candidates (discussions, preparations for the next candidate, testing of technical equipment etc.).

Lets say you have four candidates participating in the exam, and each of the candidates will get a thirty minute examination, a meeting plan for the exam day can look something like this:

09:00–09:30. Candidate 15001

10:00–10:30: Candidate 15002

11:00–11:30: Candidate 15003

12:00–12:30: Candidate 15004

If you experience any technical difficulties that delays your plan, you can consider moving the next candidate until the end of the day. Remember to inform the delayed candidate by e-mail of the new exam time.

NB: The meeting plan is set up outside the meeting tool Zoom (for example Excel). You will still use Zoom to administer the candidates in and out of the exam meeting. Here you need to use the "Waiting room" function (see step 5 of the guide).

Next step: Set up a meeting in Zoom
